For Jan Krempchen, owner of TECH-SUPPORT.KOELN, time tracking was a necessary evil for a long time. “Before Kimai, we recorded working hours and sold hardware in Excel spreadsheets,” he recalls.
At first glance, that sounds like a practical solution — but the reality was different.
Every four weeks, accounting faced a mountain of work: “Once a month, accounting had to manually transfer these lists, item by item, into the accounting software.
That took a full working day and was prone to errors.” An entire working day — just to move data from one system to another. Time that could not be invested in customer support or in further developing the business.
The search for the right solution
As an IT service provider, Jan knew there had to be better solutions. But the selection was overwhelming, and many vendors attracted attention with features that turned out to be of little practical use.
“Other solutions looked promising at first, but were poorly scalable or targeted exclusively at large companies,” he says, describing his experience.

“In our ticketing system, customers can report their IT problems, and Zammad automatically creates a one-click link for time tracking in Kimai for each ticket.”
As a result, the date, time, customer, and error description from the Zammad ticket are automatically transferred into the appropriate fields in Kimai.
“That is, of course, a huge advantage — being able to start time tracking directly with a single click.”
What sounds like a small technical detail revolutionized everyday work at TECH-SUPPORT.KOELN. No more manual data entry, no more forgotten entries, no more wasted time switching between systems.
For new customers, Jan follows a fixed checklist: first, he creates the customer in Kimai, then the agreed hourly rates, and finally the projects and services for later billing.
This keeps his time-tracking system consistent and error-free.
In addition to the existing functionality, Jan purchased Kimai plugins for expenses and custom fields. This allows him to record expenses such as goods with serial numbers and document which supplier they came from.
From burden to routine: how Kimai became a daily companion
Today, Kimai is as natural as morning coffee. “Kimai has become a standard tool for us,” Jan says.
“When we start our laptop in the morning, the browser automatically opens a tab with Kimai, alongside other tabs such as our ticketing system.
And only in the evening, when we finish work, do we close the browser with Kimai and our other standard tools. So it accompanies us throughout the entire working day.”
This integration into the daily workflow was no coincidence. It is the result of a system that adapts to the needs of the user — not the other way around.
“All the updates always run very smoothly,” Jan emphasizes. “That’s a big advantage compared to other open-source projects, where after almost every update you sometimes have to struggle with: Why is this error there? — and then figure it out yourself.”

Even the best software is only as good as the support behind it. Jan remembers one particular moment: “I once had a critical error where the system simply wouldn’t run — because of a mistake I made.
And Kevin (the developer of Kimai) was able to help me very quickly via remote support.”

“Over the years, you can see the progress — it keeps moving forward. You never get the feeling that it stands still. There is always a support contact available.”
