Plugin license
License and Terms of Use for Commercial Kimai Plugins
Applies to all plugins by Kevin Papst, unless otherwise stated.
1. Subject Matter and Scope
This license grants you, the purchaser, a non-exclusive, worldwide license to use the plugin you have purchased (hereinafter “Plugin”). The license applies solely under the terms and conditions described below.
2. Permitted Scope of Use
A single license permits you to use the Plugin in exactly one Kimai installation (“End Product”) for yourself or for a single client.
3. What Qualifies as a Permitted End Product?
A permitted End Product is one of the following Kimai installations:

A Kimai installation that you operate yourself – for your company, your employer, or yourself.
Example: You administer Kimai for your employer or for your own company. -
A Kimai installation that you install or administer for a single client, regardless of where it is hosted.
Example: Your client commissions you to install, manage, and update Kimai for their company.
4. Use in Test and Development Environments
A single license may additionally be used in one non-production environment (e.g. test, staging, or development), provided that no real time-tracking for production use takes place there.
5. Term and Perpetual Use (Perpetual Fallback License)
Plugins are sold with an annual subscription. During the active subscription period, you receive all updates, bug fixes, and support.
After the subscription expires or is cancelled, the following applies:
- You may continue to use the last version released before the end of your subscription, permanently and without restrictions.
- Future updates, new features, and compatibility fixes require an active subscription.
This model is referred to as a Perpetual Fallback License.
6. Transfer of License to a Client
You may transfer or resell a purchased license once to a single client. Upon transfer, all rights of use pass entirely to the client.
Important: After the transfer, you may no longer use the Plugin yourself, unless you purchase a separate license for your own use.
Example: You purchase a license for a client project and hand the license key over to your client. If you also wish to use the Plugin yourself afterward, you need a second license.
7. Prohibition of Multiple-Instance Use
A single license may not be used for multiple clients or multiple active Kimai installations simultaneously. A separate license is required for each additional installation.
8. Prohibition of SaaS Use
Use of the Plugin in a Software-as-a-Service (SaaS) environment is not permitted without an extended license.
SaaS is defined as any model where pricing depends on the number of end users – regardless of whether this is structured as per-seat or volume licensing.
Exempt from the SaaS prohibition is hosting Kimai installations for individual clients, provided each client installation has its own license and billing is not dependent on user count.
Example: A provider operates Kimai instances for five different companies. Each instance requires its own license. However, if a single instance is offered to multiple paying users (e.g. as a monthly per-user subscription), this qualifies as SaaS and requires an extended license.

9. Modification of the Plugin
You may adapt the Plugin, combine it with other works, or create derivative works, provided the resulting End Product complies with the terms of this license.
The following is not permitted:
- Disabling or circumventing built-in license checks or detection mechanisms of the Plugin.
- Extracting individual components (e.g. icons, modules) for standalone use outside the Plugin.
10. Prohibition of Redistribution
The Plugin may not be redistributed, sold as a standalone product, or made available to third parties – whether in unmodified or modified form, alone or bundled with other products.
End users of the End Product must not be granted access to the Plugin in a way that enables them to use it independently of the End Product.
11. Resale of the End Product
You may sell a single End Product to exactly one client for a fee (see §6). Any resale beyond this – particularly as a marketable product or service – requires an extended license.

12. Lawful Use
The Plugin may only be used for lawful purposes.
13. Trademarks and Third-Party Intellectual Property
To the extent the Plugin contains trademarks or other rights of third parties, these have not been cleared for commercial use. It is your responsibility to determine whether your specific use requires a clearance and, if so, to obtain it from the rights holder.
14. Termination of License
This license may be terminated with immediate effect in the event of a breach of its terms. Upon termination, you are required to cease use and distribution of the End Product and remove the Plugin from it.
15. Ownership
The author of the Plugin retains ownership of the Plugin. This license governs only the rights of use granted to the purchaser. Ownership of the Plugin remains with the author.
16. Severability
If any provision of this license is or becomes wholly or partially invalid or unenforceable, this shall not affect the validity of the remaining provisions. The invalid or unenforceable provision shall be replaced by a valid provision that comes as close as possible to the economic purpose of the original provision.
17. Governing Law and Jurisdiction
This license is governed by the laws of the Republic of Austria, excluding the UN Convention on Contracts for the International Sale of Goods (CISG). The exclusive place of jurisdiction for all disputes arising out of or in connection with this license is Vienna, Austria.

Can I still use the Plugin after my subscription ends?
Yes. You may continue to use the last version released before your subscription ended, permanently and without restrictions. Future updates require an active subscription.
May I use the Plugin in a test or development environment?
Yes. A single license also covers one non-production environment (e.g. staging or local development), as long as no real production time-tracking takes place there.
I install Kimai for my client. Do I need my own license, or does my client purchase one?
You may purchase the license yourself and transfer it to your client (including the license key). After the transfer, you may no longer use the Plugin yourself. If you also wish to use the Plugin in your own operations, you need a separate license.
I work with multiple clients. Can I use one license for all of them?
No. Each active Kimai installation requires its own license – regardless of whether you are the operator or your client is.
What is the difference between hosting for clients and SaaS?
Hosting for clients means: you operate a Kimai instance for a single client who pays a flat fee. This is permitted with one license per instance.
SaaS means: pricing depends on the number of users (e.g. per user per month, volume packages). This requires an extended license – please contact us in that case.
Can I resell a license?
Yes, you may transfer or resell a license once to a client. After the transfer, you lose the right to use the Plugin yourself. Redistribution of the Plugin itself (e.g. as part of your own product) is not permitted.
